Job Description
The Executive Administrative Assistant will provide comprehensive administrative support to senior executives, ensuring the smooth operation of daily activities and strategic projects. This role involves managing schedules, organizing meetings, preparing reports, handling confidential information, and serving as a liaison between the executive team and other departments. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple tasks efficiently.
Key Responsibilities:
Executive Support: Provide direct administrative support to senior executives, including managing complex calendars, scheduling appointments, coordinating travel arrangements, and handling expense reports.
Meeting Coordination: Plan, organize, and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
Communication Management: Act as a key point of contact for internal and external communications, including screening phone calls, emails, and other correspondence. Ensure timely and effective communication.
Document Preparation: Prepare, edit, and proofread reports, presentations, and other documents for accuracy and consistency. Handle sensitive and confidential information with discretion.
Project Assistance: Assist with special projects and initiatives, providing research, analysis, and administrative support as needed.
Event Planning: Coordinate and manage executive events, conferences, and business functions, including logistics, catering, and vendor management.
Office Management: Oversee the maintenance and organization of the executive office, ensuring it is well-equipped and operating efficiently.
Liaison Role: Facilitate communication and collaboration between executives and other departments, ensuring smooth information flow and cooperation.
Task Prioritization: Identify priorities and manage time effectively to support executives in meeting deadlines and organizational goals.
Qualifications:
Education: High school diploma or equivalent; Bachelor’s degree in Business Administration, Management, or related field preferred.
Experience: Proven experience as an executive assistant or in a similar administrative support role. Preferably in a fast-paced environment.
Skills:
Exceptional organizational and time management skills.
Excellent written and verbal communication abilities.
Strong interpersonal skills and the ability to build professional relationships.
High level of discretion and confidentiality.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Knowledge in CRM preferred.
Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
Attention to detail and proactive problem-solving skills.
Language: Fluency in English is required (B2-C1)
